GTD Tip - Your mind has better things to do

In the latest GTD newsletter David Allen says his GTD system was designed to reduce your thinking time. David explains that he used to look at his diary or email and try to decide what to do next. That takes a lot of thinking. Your mind is better used to solve problems and be creative rather than using it's energy deciding what to do.

The key point is that professional athletes know pushing themselves to 100 capacity continuously results in poor performance, injury and illness. Yet in business most executives try to go 100 flat out all day every day. Build recovery into your day so your productivity and performance will improve. Just ask any Olympic Gold Medallist.

Set a context to improve focus

Creating a context yourself, or helping staff, friends or clients choose a context in any situation from a meeting to planning out a week is a powerful tool that will improve your focus and save time.

The latest newsletter on Brain Based Coaching explains that a context is "the mental environment in which thoughts and actions occur".

When you acknowledge, or better, set your own context you become more effective. Ask yourself questions like:
What do I want to get from being involved in this project?
What do I want to take away from this meeting?

Tyr it and let me know how you go.

What is your procrastination telling you?

Your procrastination behaviour tells you a lot about where you are really at. Two clients I have worked with this week have said " .. I just haven't found time to do X!" I ask them, how important is X. "Very important" is the reply. Then I ask, "what is your behaviour telling about how important X is? Hmmm (thinking time). My clients started to become aware of what was happening. In both cases there was an internal conflict. Yes X is important, BUT .... . I call these internal conflicts invisible blocks. They block you from doing what is important, but you can't see them. What is your procrastination behaviour telling you?

How a Friday review reduces your stress

Would you like to reduce your stress, be able to relax over the weekend and sleep better. Then do a Friday Review. A Friday review is where you look back over the week, notice what you learnt, note what you completed and did well (give yourself a pat on the back). You also note what did not get done and what got in the way. Then you plan the following week in big chunks of time (not a task list). You know have total clarity about the High Importance High Impact actions for next week. And your stress level has just been halved. ALL my clients describe a relief and greater enjoyment of their weekend. Try it and Enjoy.

The simplest way to track your time

Here is my answer to a writer who was thinking about tracking their time, because they couldn't find enough time to write!
It is a great idea to track your time. I suggest this to all my clients and the groups I talk to. Once you track your time you Really know where your time goes. This makes it is much easier to change where you spend your time. Here are a couple of questions for you.
How much time each week would you like to spend writing?
How much time each week do you need to spend in running your "writing business"?
Here is a link to a simple way to "> track your time.

Lots of your mind means you get less done!

The Paradox of a Busy Mind.

The more you on your mind the less you get done.

I was reading the newsletter from David Allen the guy who wrote the book Getting Things Done. In answering a question he reminded me that the more you in your mind the less you get done. Imagine your mind a computer. Your memory is like the RAM in the computer (also called operating memory). The computer hard drive is like your time management system.

When you have too many programs running on your computer, you use all the RAM and the computer slows down. The same applies for your brain. When you load up your mind your brain and your thinking slow down or become less effective.

Save it to the hard drive.

A time management system enables you to save things to your hard drive. You free up your working memory. You think more effectively. You get more done AND what you do has much more impact.

Trying to operate with your RAM overloaded that is a busy mind is not sustainable. Eventually there will be physical, emotional and mental errors messages. A time management system frees your mind, increases your effectiveness and creates a sustainable lifestyle.

The BENEFIT of clearing your mind is a life of effective thinking, success, good health and well being.

See David Allen speak about time management and GTD at Google.

The Biggest Planning Mistake People make Every Day

The BIGGEST Planning Mistake people make everyday.
Would you get on flight that has no flight plan?

The Biggest planning mistake people make every day is Not planning.

I am still amazed at how people resist taking a few minutes to plan. A senior executive described to me how he wasted about 4 hours over 2 days while painting 2 rooms of his house, because he didn't have a plan. He had to stop about 6 times and get filler, sand paper, more drop sheets and so on.

He wasted 25 of his time by jumping into Doing rather than taking 5 minutes to do a simple bullet point plan.

The BENEFIT of planning is that you SAVE TIME and you achieve much more in less time, because you know exactly what needs to be done, how to do it and the resources need to complete it.

You can find more great time management tips here

**********************************

"If you fail to plan you are planning to fail old but True. PLAN every week, each day and each project."

Have a fantastic week.

Email is the Enemy - Tips to reduce email overload

Time Management Tip
Email is the ENEMY of Highly Effective People.

Your inbox is NOT your TO DO list.

Each morning start on your Number One priority for the day BEFORE you open your inbox. Many people today are addicted to email (are you?). Test yourself can you start an activity in the morning without checking email? If you do, how do you feel?

The INBOX should NOT determine your priorities or your next task. Highly effective people never let this happen. Be Proactive and work to your plan rather than reacting to your inbox.
The BENEFIT of this is that you will find you achieve much more in less time, because you are making sure you Spend appropriate Time on your High Priorities.
